General Data Protection Regulation (GDPR)
We are making headway to ensure that we are fully compliant with the General Data Protection Regulation (GDPR) which comes in to effect on 25th May 2018. We are awaiting GDPR documents from all 3rd parties whom we deal with in order to process your orders. Not all of the 3rd parties listed below have access to your personal data.
These 3rd Parties are as follows:
Share confirmation of payment with us. Paypal just take your cart information and corresponding price from our checkout so that you can be charged accordingly
Utilise: your full name and email, shipping address and billing address for security purposes in order to process your transaction. Barclaycard also take your cart information and the corresponding price from our checkout page so that you can be charged accordingly. They confirm with us whether you payment has been successful. They handle all your bank details - we do not.
Utilises your full name, email, and address in order to confirm you are of legal drinking age. Age-Checked store this information for our convenience so that you don’t have to be age verified through The Gin Box Shop website again.
WEBSITE HELPER CHAT WINDOW
We can observe an i.p address relating to your behaviour on our site. If you choose to engage with us through a chat portal then your personal journey through pages on our website is stored in an archived chat. These archived details do not display any of your personal information unless you have supplied it to us in a chat. Archived chats are deleted on a 6 monthly basis.
WEB BEHAVIOUR AND ANALYTICS
We can observe an i.p address relating to your behaviour on our site - this does not synchronise with your personal data. Google Analytics anomalously tracks your behaviour on our site - any information gathered from our customers’ behaviour is only used by The Toasterie LLP t/as The Gin Box Shop to improve our websites functionality and shopping experience. Google Analytics doesn’t have access to any user's data.
We currently share shipping details with Royal Mail - they use these in order to deliver your parcel
We currently share your email address & phone number, and shipping details with Parcel Force - they use these in order to deliver your parcel and notify you of your parcel’s status.
EMAIL & NEWSLETTER
If you have agreed to receiving emails from us, we may periodically send promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided. MailChimp do not use your data and you can unsubscribe from our mailing list at any time.
What we collect

Contact information, including: name, a recipient’s name, email address, telephone numbers, addresses
Demographic information: age, sex, postcode
Your i.p address and live/active web behaviour - this is anonymous tracking.
Other information relevant to customer surveys - only obtained through communication via MailChimp and emailing if you so wish to participate in such

Where is this information stored?
We store archived orders on a private and secure server using an eCommerce platform, Magento. We process orders by logging in to our Magento store, which is hosted on this secure server - this server is only accessible by three individuals, who are directors of the The Toasterie LLP, trading as The Gin Box Shop, each with different passwords. We change our individual passwords every 6 months and do not save passwords locally, so other individuals, should they get access to the physical computers we use, can’t access the eCommerce platform. If, in the unlikelihood, of there being a security breach, we can use an administration login to disable anyone of those accounts. Magento, as a system we use, has no access to your data.
On a daily basis we temporarily store packaging documents on a dispatch designated computer, in order to print them. At the end of the processing day all associated files are deleted - This computer is only accessible by the three of The Toasterie LLP t/as The Gin Box Shop directors, and is kept in a locked office. This office, is situated in an alarmed, licensed premises, which is locked at the end of the evening.
What will we do with this information
We use Barclaycard as our payment gateway and do not store any of your credit card information. Barclaycard are fully PCI compliant. We regularly fill out PCI/DSS assessments with Barclay card to ensure that we are compliant with their strict guidelines.
We use a full SSL certificate to ensure all the information we send is encrypted, including stylesheets and layout information over to the Barclaycard payment screen to create a coherent flow in your shopping experience.
You also have he option to pay through PayPal, another payment gateway who handle your banking data independently and don’t share it with us.
FULFIL THE DELIVERY OF YOUR ITEMS.
We use your/the recipient's address and name, as well as email addresses and/or phone numbers you provide, so that we, with our couriers services, can fulfil your order's delivery.
We require your address/recipient's address, and your email / and, or phone number in order to fulfil your order with us.
If upon checkout you have inputted your phone number and or email address you will receive notifications on your order status, or we may get in contact with you regarding your order if necessary e.g if there is a problem with your order.
We are awaiting the GDPR (General Data Protection Regulations) from both Royal Mail and Parcel Force, and will include them on this site soon.
PRINT YOUR ADDRESS LABELS AND PACKAGING SLIPS
We print a physical copy/ies of your address in the form of shipping labels, and also print packaging slips; both documents are posted to you, the shipping label, with your address, being on the outside of the package, and the packaging slip, with your order details, being within. These are posted to you.
We don’t keep physical copies of your address or packaging slips ourselves. If a copy fails to make it in to a package then we either shred or burn the physical copy at the first instance of its discovery.
An archive of shipping labels is kept on our secure server in case we need to resend an order.
Shipping labels that are downloaded for printing are deleted at the end of day after processing.
INTERNAL RECORD KEEPING
We may use the information to improve our products and services but we never use your personal data, gathered through this site, to personally approach you for any other reason that to discuss your order.
YOUR PERSONAL EXPERIENCE FOR ACCOUNT HOLDERS
We may personalise your experience with us so to provide you with a better online purchasing experience with us.
We would not share your details with any third parties, unless we have to fulfil an order, as stated above.
MAILCHIMP & EMAILS
If you are have ticked a box upon checkout, and thus, signed up to The Gin Box Shop newsletter and occasional promotional emails, you will receive a further email through the 3rd party, Mailchimp, confirming your agreement to subscribe to our newsletter.
Please note that you can unsubscribe from this mail-list at any time through MailChimp. We may periodically send promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided.

Your email address and any content within an email will be stored on our secure servers and also stored locally on one of three computers, all stored in lockable offices, in licensed and alarmed premises. All computers are protected by passwords following guidelines on good password practice.
